Description

AP Professionals has partnered with a local company seeking a highly organized and detail-oriented Administrative and Accounting Assistant. This multifaceted role will be responsible for a variety of administrative and financial tasks to ensure smooth business functioning. This position is fully onsite and works 7:30am-4:30pm.

Responsibilities

  • Supports various property-related administrative functions and communications.
  • Acts as a liaison for external partners and service providers.
  • Reviews documentation to identify key terms and responsibilities.
  • Provides oversight and support for financial account activities.
  • Assists with routine billing processes and periodic financial reconciliations.
  • Monitors and records general expenses.
  • Helps facilitate payroll and related reporting activities.
  • Coordinates travel and scheduling arrangements as needed.
  • Performs general office and administrative tasks.
  • Assists in resolving property-related matters as they arise.
  • Collaborates with external parties to support occupancy efforts.
  • Maintains records related to account status and payment activity.
  • Ensures accuracy in internal financial documentation.
  • Works with external financial professionals on accounting matters.
  • Supports the preparation and distribution of required forms and reports.
  • Manages ordering and inventory of office and general supplies.

Experience

  • Proven experience in a related administrative and accounting role.

Knowledge, Skills, Abilities, and Other Characteristics

  • Familiarity with real estate documents and processes is a plus.
  • Proficient in QuickBooks, Excel, and Outlook.
  • Highly organized, detail-oriented, and able to manage multiple tasks effectively.
  • Self-motivated with the ability to work independently and adapt to shifting priorities.
  • Maintains confidentiality and exercises sound judgment.
  • Strong communication and interpersonal skills.
  • Willingness to learn and seek guidance when faced with unfamiliar tasks.
  • Comfortable working under pressure and meeting deadlines.
  • Receptive to feedback and confident in problem-solving abilities.
