Description

AP Professionals has partnered with a local real estate company to find an Accounting Assistant. This role will support the accounting department by performing financial tasks, maintaining records, and assisting with administrative duties to ensure smooth and accurate operations.

Responsibilities

  • Maintain and update files for vendors, customers, and projects.
  • Ensure vendor invoices are correctly coded and reconcile vendor statements.
  • Support the processing of vendor payments.
  • Handle annual 1099 filings and related reporting requirements.
  • Assist with preparing and sending customer invoices.
  • Process and record daily bank deposits.
  • Provide documentation support for audits.
  • Follow up with customers on overdue payments.
  • Input employee payroll hours into QuickBooks and generate necessary reports.
  • Oversee insurance certificates and ensure compliance.
  • Assist with sales tax exemption documentation and reporting.
  • Support purchasing and procurement processes.
  • Respond to and redirect phone calls and emails as needed.
  • Perform general office tasks, including filing, scanning, and copying.
  • Adhere to company policies and procedures as outlined in training and official communications.
  • Participate in required meetings such as departmental and corporate management sessions.

Education

  • Associate's degree in Accounting required.

Experience

  • 2-5 years of experience in an accounting and administrative capacity.

Knowledge, Skills, Abilities, and Other Characteristics

  • Skilled in Microsoft Office, with advanced expertise in Microsoft Excel.
  • Solid experience using QuickBooks Desktop.
  • Experience in the construction industry is a plus.
  • Comprehensive understanding of accounting principles, financial statements, and accounting systems.
  • Exceptional organizational and time-management abilities.
  • Strong verbal and written communication skills.
  • Capable of multitasking and managing workload efficiently.
  • Able to work independently as well as collaboratively in a team environment.
  • Highly detail-oriented with the ability to prioritize tasks effectively.
  • Willingness to work flexible hours during peak periods as needed.
