Description

AP Professionals has partnered with a local company to find an Accounts Payable Audit Coordinator. The AP Audit Coordinator serves as the gatekeeper for incoming invoices, preventing duplicates in the accounts payable system, handling vendor inquiries, and supporting the Senior AP Audit Coordinator. This role also collaborates with the AP Audit team and the Financial Controls Department on administrative tasks to ensure accurate and timely payment processing.

Responsibilities

  • Verifies that all invoices received are uploaded into the system of record, ensuring no duplicates are entered.
  • Downloads and uploads routine monthly invoices into the system of record.
  • Manages cloud-based software that serves as a portal crawler to obtain invoices from multiple vendor portals, including enrolling and unenrolling accounts to keep the database up-to-date.
  • Monitors invoice matching exceptions (at the header level) in the system of record, ensuring invoices are correctly coded and routed to the appropriate person for processing.
  • Handles incoming Accounts Payable phone calls, provides invoice status updates to vendors, directs inquiries to the appropriate party, and investigates and follows up on unresolved issues.
  • Serves as the point of escalation to connect internal and external parties for resolving billing or payment disputes.
  • Assists in expediting payments to vendors when necessary.
  • Promotes a positive work environment by being a team player and maintaining a positive attitude.
  • Occasionally assists with administrative duties.
  • Supports various ad hoc projects as needed.
  • Delivers exemplary customer service both internally and externally.

Education

  • High School diploma required.
  • Some college preferred.

Experience

  • At least 1 year of experience in accounts payable or related accounting role.

  • Strong analytical skills with a keen attention to detail and high level of accuracy.
  • Effective communicator across all levels of the organization and with external vendors.
  • Self-motivated with the ability to manage multiple tasks simultaneously.
  • Proficient in Microsoft applications, including Excel, Word, and Outlook.
  • Excellent written and verbal communication abilities.
  • Capable of thriving in a fast-paced environment with a high volume of auditing, consistently meeting deadlines.
