Description

AP Professionals has partnered with a longstanding local nonprofit organization seeking an Accounts Payable/Payroll Specialist. Reporting to the CFO, this position will support all aspects of accounts payable and payroll, ensuring accurate invoice processing, timely disbursements, vendor record maintenance, IRS compliance, and effective collaboration in a deadline-driven environment. This position is fully onsite.

Responsibilities

  • Oversee daily accounts payable operations, including invoice distribution for approval, accurate entry into the accounting system, proper classification of transactions, and preparation of documentation for weekly check runs.
  • Maintain organized accounting records and resolve discrepancies with vendors.
  • Prepare annual IRS 1099 filings for CFO review and submission.
  • Manage and reconcile prepaid expenses in alignment with accounting records.
  • Support the annual audit by compiling and organizing required documentation for external auditors.
  • Download and distribute routine financial reports, such as Service Director Reports, HUD mortgage statements, and HUD payable summaries.
  • Manage corporate credit card processes by distributing activity reports, collecting receipts, and posting entries to the accounting system.
  • Assist in the preparation of annual property tax exemption filings for CFO review.
  • Monitor daily payroll operations, including auditing time and attendance, reviewing employee time punches, and reporting policy infractions to Human Resources.
  • Contribute to bi-weekly payroll processing and prepare monthly payroll-related journal entries.

Education

  • Associate's degree in accounting or finance, or equivalent combination of education and experience.

Experience

  • At least 2 years of accounts payable experience.

Knowledge, Skills, Abilities, and Other Characteristics

  • Solid understanding of Generally Accepted Accounting Principles (GAAP).
  • Strong proficiency in Microsoft Office and the ability to efficiently navigate multiple software platforms.
  • Experience with ADP payroll systems is preferred.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
