AP has partnered with an Architectural/Engineering firm located in downtown Rochester to secure a full time, direct hire, Office Manager. This position is the "hub" of the office and requires an individual who loves to take ownership of a role and who thrives on making sure the office runs smoothly. You will be positioned at the front desk and handle a multitude of duties.   • Open and close office within normal business hours.
  • Welcome visitors in a friendly manner.
  • Answer and direct phone calls in a polite and outgoing manner.
  • Maintain Reception areas and all common areas (kitchen, print room, conference rooms) in a clean and tidy manner at all times.
  • Coordinate office maintenance as needed.
  • Operate standard office equipment on a regular basis, including copy machine, computer, plotter and postage machine.
  • Manage inventory of supplies and restock as needed
  • Receive and sort incoming mail and deliveries. Manage outgoing mail (FedEx, USPS, UPS and PDQ).
  • Assist with office moves and setting up new hires.
  • Maintain/coordinate conference room calendars.
  • Coordinate lunch and learn seminar sessions in conjunction with seminar coordinator.
  • Electronic project fiing.
  • Provide other administrative support as necessary.


  • AAS preferred


  • 2-4 yrs of relevant experience in a professional office setting

  • Strong organizational and time management skills
  • Excellent communication skills.
  • Must be a self-starter.
  • Exceptional attention to detail.
  • Takes initiative.
  • Strong problem-solving skills
  • Ability to work independently but able to collaborate in groups.
  • Willing to take ownership of duties, be proactive, and welcome being the point person for the office.
  • Proficient in MSW, Excel and Outlook
