Description

AP Professionals is seeking an experienced and talented Executive Assistant to join our client located in Brighton, NY. This is an EXCELLENT DIRECT HIRE OPPORTUNITY. If you have at least 7+ years of administrative experience with 3 or more of those years being in an E.A. role this might be the perfect fit for you. This position is an in-office role and will report to the CEO. The Executive Assistant will work closely with the CEO and other "C" level management on a variety of projects, including but not limited to: managing calendar, travel arrangements, meeting logistics, planning and executing events, special project and the preparation of HEAVY PP presentations.

Responsibilities

  • Managing a diverse range of administrative tasks for the CEO and executive team including managing calendars and appointments; assisting with travel arrangements; tracking and submitting expenses; drafting confidential correspondence; and compiling documents for important meetings.
  • Researching, prioritizing, and follow-up on incoming issues and action items addressed to the executive team, including those of a sensitive or confidential nature.
  • Acting as a point of contact for employees to take in and organization information in support of organizational goals and objectives.
  • Organizes and prepares for meetings, including gathering documents and attending to logistics details of the meeting
  • Maintains various documents and records, some a of highly confidential and sensitive nature, for company executives
  • Schedules meetings ranging from 1:1 meetings to large all-employee meetings and makes all associated arrangements which may include: meals, drinks, hotel arrangements, facility rentals, equipment rentals, etc.
  • Drafts, reviews, and administers communications on behalf of company executives
  • Manages a variety of special projects for the Executive Team

Education

  • Associate degree required. Bachelor’s degree a plus.

Experience

  • Minimum of 7 years in an administrative support role with at least 3 years supporting senior level executives.

  • Expert-level written and verbal communication, MS Office, PowerPoint, Word and Excel skills

  • Experience managing schedules, booking travel, and coordinating events.
