Description

AP Professionals has partnered with a premier marketing agency to find a part-time Media Billing Specialist. This position is hybrid or remote with a flexible schedule. The successful candidate in this role will be responsible for managing media billing and vendor invoices in close collaboration with media planners, buyers, the business office, and vendors.

Responsibilities

  • Track, review, and input digital media campaign budgets and pacing.
  • Collaborate with the Media Team, billing, and finance to reconcile invoices and media expenses.
  • Sync invoices and media billing from Strata to Workamajig.
  • Enter media insertion orders and invoices into financial software per media plans.
  • Collect, review, and process media invoices in the system.
  • Assist the accounting department with client billing and reconciliations.
  • Monitor billing accuracy, resolve discrepancies, and verify unusual items with staff.
  • Generate and review accounts payable/receivable reports for accuracy as needed.
  • Manage client activity report generation, review, and sign-off processes.
  • Handle vendor invoice discrepancies by coordinating with media buyers.
  • Provide support for billing and payment issues for customers and vendors.
  • Maintain records for transaction reporting and ensure timely reporting of financial data.
  • Foster strong internal and vendor relationships.
  • Process and approve financial adjustments as required.
  • Support departmental goals and assist with additional administrative tasks as assigned.

Education

  • Associate's or Bachelor's degree in Accounting or related field preferred.

Experience

  • At least 1 year of experience in accounts payable or billing.
  • Experience in media billing a plus.

Knowledge, Skills, Abilities, and Other Characteristics

  • Proficient in MS Office and NetSuite (or similar ERP accounting systems), with experience in computerized accounting and spreadsheet programs.
  • Strong accuracy, attention to detail, and commitment to confidentiality.
  • Excellent analytical, problem-solving, and decision-making abilities.
  • Exceptional verbal, written, and listening communication skills.
  • Highly organized, deadline-driven, and goal-oriented with a strong sense of urgency.
