Description

AP Professionals has partnered with a longstanding local firm in search of an Accounting and Payroll Specialist. This role will be responsible for billing, payroll, accounts payable/receivable, and general accounting functions across multiple entities. The ideal candidate will have strong bookkeeping and organizational skills, and thrive in a fast-paced office environment. This position is fully onsite.

Responsibilities

  • Assist with client billing, accounts receivable, and collections.
  • Maintain financial records across multiple entities using QuickBooks.
  • Support general ledger tasks, including bank reconciliations and journal entries.
  • Process high-volume payroll and maintain related spreadsheets.
  • Track and enter accounts payable; assist with vendor communication and approvals.
  • Record electronic fund transfers and prepare internal reports.
  • Support staff and partner expense reporting and reimbursements.
  • Assist with administrative duties such as filing, client mailings, and tax return e-filing.
  • Answer phones and respond to basic client and vendor inquiries.
  • Contribute to year-end processes and special projects as needed.

Education

  • Notary Public preferred.

Experience

  • 5 years of experience in bookkeeping, preferably in a financial environment.

Knowledge, Skills, Abilities, and Other Characteristics

  • Proficiency in QuickBooks preferred.
  • Ability to handle sensitive information with a high level of confidentiality and professionalism.
  • Proactive, self-motivated, and capable of working independently.
  • Strong interpersonal skills with a positive and team-oriented attitude.
  • Excellent written and verbal communication skills for interacting with clients, vendors, and internal staff at all levels.
  • Ability to explain processes and train others as needed.
  • Proficient in Microsoft Excel and Word.
  • Solid understanding of financial bookkeeping practices.
