Description

AP Professionals has partnered exclusively with a well established, family-owned electrical contractor in search of a Purchasing Agent. The Purchasing Agent supports multiple project teams by sourcing suppliers, managing orders, and verifying deliveries. The role requires strong technical knowledge, communication skills, and the ability to negotiate effectively while maintaining accurate records.

Responsibilities

  • Tracks inventory levels and identifies procurement needs.
  • Requests cost proposals and negotiates pricing and contract terms.
  • Prepares, issues, and follows up on purchase orders.
  • Maintains accurate documentation of transactions, purchase orders, receipts, and payments.
  • Coordinates and confirms delivery schedules for purchased items.
  • Develops and sustains strong, long-term relationships with suppliers.
  • Collaborates with:
    • Project Managers and Estimators to secure materials below estimated costs.
    • Project Foremen to align material deliveries with project timelines and cost-efficiency goals.
    • Warehouse staff to manage material orders, deliveries, and tool purchases/repairs.
    • Suppliers to resolve issues related to shortages, overages, damages, and invoice discrepancies.
    • Accounting to ensure accurate and timely invoice processing.
  • Enters, tracks, and audits order data to support on-time shipping, delivery, and billing.
  • Prepares technical purchasing reports to support operational decision-making.
  • Participates in meetings with leadership to align on project purchasing needs.
  • Reviews project budgets and adjusts purchasing strategies to meet financial targets.
  • Identifies risks and opportunities related to procurement.
  • Assists Project Managers in resolving construction-related procurement challenges.
  • Provides strategic advice to project teams to support efficient execution of purchasing activities.
  • Tracks inventory levels and assesses purchasing requirements proactively.
  • Requests competitive pricing and negotiates favorable contract terms.
  • Prepares, issues, and manages purchase orders efficiently.
  • Maintains thorough and accurate documentation of transactions, POs, receipts, and payments.
  • Coordinates delivery schedules and confirms receipt of purchased materials.

Education

  • High school diploma or equivalent is required.
  • A degree in business administration, procurement, or a related field is preferred.

Experience

  • Prior experience as a Purchasing Agent or in a comparable role within the electrical contracting industry is strongly preferred.
  • Proficient in CRM platforms and inventory management software.
  • Skilled in Microsoft Office applications, including Excel, Word, PowerPoint, and Project; experience with Viewpoint Spectrum is a plus.
  • 2-5+ years of demonstrated experience as a Purchasing Agent or in a related role within the electrical contracting industry preferred.
  • Experience in negotiating pricing, terms, and contract conditions with vendors preferred.
  • Adept at researching and evaluating suppliers, products, and services.

  • Familiarity with electrical code requirements is a plus.
  • Capable of identifying and selecting suppliers based on reliability, quality, and cost-effectiveness.
