Description

AP Professionals is partnering with a local non-profit searching for an Executive Assistant. As the Executive Assistant, you'll play a vital role in supporting the Senior Vice Presidents and upholding the company's core mission, vision, and values. Your primary responsibilities will include delivering top-notch administrative support to ensure seamless operations and contribute to the overall success of our organization.

Responsibilities

  • Manage daily administrative tasks for Senior Vice Presidents, including coordinating Outlook calendars, preparing and editing correspondence, presentations, and documents, with the ability to prioritize responsibilities and adapt quickly to changing needs.
  • Supervise reception area operations, ensuring excellent customer service for staff and visitors through evaluation, coaching, and development of administrative support staff. Offer support and coverage for receptionist duties during Administrative Assistant's absence.
  • Organize hospitality arrangements for office events, including ordering refreshments, arranging meeting setups, and managing cleanup as required.
  • Collaborate with Directors of Administrative and Governance Operations, as well as Learning and Development, to maintain meeting room schedules.
  • Assist the Director of Administrative and Governance Operations in coordinating activities for the Spirit and Culture Committee.
  • Handle agency-wide conference registrations, lodging accommodations, and membership renewals.
  • Manage Sonitrol FOB and door access for corporate and regional offices in partnership with the Administrative Assistant.
  • Provide additional administrative assistance as needed, supporting special projects, events, and meetings as required.
  • Oversee and handle the performance and training of administrative team members by establishing clear job responsibilities and performance standards, offering comprehensive and timely feedback, and promptly addressing any performance issues that arise.
  • Assist the administrative team in developing and executing their individual development plans.

Education

  • Minimum of an Associate's degree required; with a minimum of three (3) years of relevant experience at the executive level.

Experience

  • Proficiency in Microsoft Office Suite.
