Description

We currently have a 6 month contract with a well know organization. They have a site in Barker, NY and is in need of securing support for their project management team. The scope of the responsibilities will span the entire project life cycle from kick off to close out to descope. There are a variety of administrative support and project coordinator functions. The hours are 7-4 with a pay rate of $25 hourly.

Responsibilities

  • Assist Project Managers with job setups, document control and communication of project status updates throughout the project life cycle.
  • Diligently maintain project documentation, safety reports and record keeping in accordance with company policies.
  • Manage a variety of scheduling functions to include meetings, training, and travel reservations,
  • Support a variety of project functions including ordering plans and specs, preparing bids, ordering bonds, maintaining work request logs, managing contract agreements, insurances, and certificates.
  • Coordinate pre-construction kickoff and descope meetings to support the project team and take meeting minutes if requested.
  • Provide general office administrative support including, answering and directing phone calls, greeting and directing visitors, maintaining inventory of miscellaneous offices supplies, etc.
  • Support all other general office functions as directed by the Vice President of Construction and Construction Services.

Education

  • Associates or bachelor’s degree in a business discipline preferred

Experience

  • 3-5 years of professional, administrative or project coordination experience
  • Relevant experience in the construction industry highly valuable

Knowledge, Skills, Abilities, and Other Characteristics

  • High level of proficiency with MS Office Suite/MS 365, specifically Word, Excel, Outlook, and PowerPoint
  • Experience with Project Management software including MS Project, Prolog, Timberline/Primavera is a plus
  • Experience and comfort with Cloud based tools
  • Strong technical aptitude to learn and master company specific tools and programs
  • Strong interpersonal skills and a commitment to teamwork, with an ability to communicate effectively with all internal and external stakeholders
  • High attention to detail and commitment to accuracy
  • Ability to think critically, assess problems and propose creative solutions, escalating to leadership when necessary
  • Ability to use solid judgement and reasoning to make decisions
  • Strong organizational skills with the ability to manage your time effectively and prioritize tasks to meet a range of deadlines
  • Self-starter with the ability to work effectively both independently and as part of a team
