Description

We have an excellent DIRECT HIRE opportunity with a client located in the city of Rochester! If you are you a proactive, detail-oriented customer service professional who enjoys being the central hub between customers, sales, and production, you will want to join this organization. We are looking for an experienced Customer Service & Inside Sales Representative to join our client’s team.

In this dynamic role, you’ll be the vital link between customers and internal departments. You will ensure every order runs smoothly from quote to delivery. You will work closely with the Vice President of Operations, Sales Engineer, and internal teams. You will create seamless experiences for customers while supporting the company’s continued success in their industry.

The role includes a number of administrative and customer service functions such as: creating sales quotes, processing requests for customer orders, responding to customer inquiries and updating customers on delivery schedules. This role will also provide back-up and support to the Office Manager.

Hours are Monday - Thursday from 8-4:30, and Friday from 7:30-4:00.  Pay is $28 to 30 hourly.

Responsibilities

  • Build and maintain strong customer relationships through professional, timely communication.
  • Coordinate with sales, production, quality, and shipping teams to ensure customer orders are handled efficiently.
  • Prepare quotes, process purchase orders, and manage customer accounts using QuickBooks and other CRM’s.
  • Provide updates on order status and delivery schedules, resolving any issues with care and professionalism.
  • Support quality processes by issuing and tracking RMAs and helping resolve customer concerns.
  • Serve as a trusted backup for the Office Manager, assisting with shipping/receiving, phones, and administrative duties.
  • Track and report sales activity and ensure all documentation is accurate and organized.
  • Receive product and store in assigned area
  • Move materials and paperwork to production staging area
  • Monitor ship dates and notify customers of any changes
  • Work closely with shipping/receiving and moving materials to staging area
  • Assist customers with delivery or pick up on orders
  • Create packing slips and shipping labels and place on packages
  • Resolve customer scheduling issues and expedite requests

Experience

  • 2–5 years of Customer Service, Inside Sales, or related experience (manufacturing or technical environment a plus!)
  • Proficiency in Microsoft Office (Excel, Outlook, Word); experience with QuickBooks and CRM’s preferred.
