Our client is seeking a dynamic Executive Assistant to support the VP of Finance and Administration.  This is an excellent opportunity to join a well-known educational institution.  This position can accommodate either a full time (9-5) or part time schedule (9-3).   While this is currently a temporary opportunity, there are possibilities for hire should the college committee approve the role.  Come join an outstanding organization and put your E.A. expertise to work.

 

Responsibilities

  • Maintains CFO calendar, schedules meetings and supports Office operations.
  • Prepares resolutions for board approval, or for information for contracts according to the purchasing policy.
  • Reads and analyzes documents to determine their significance; develops system to organize and maintain all official records
  • Organizes, coordinates and communicates budget preparation and works with departments to receive, process and report all budget requests
  • Prepares budget transfer reports for the Board and maintains records of board actions relating to financial decisions. Prepares budget amendments and resolutions.
  • Coordinates annual insurance renewals, and applications for certificates of insurance. Manages property casualty claims processing.
  • Maintains a central database of all Contracts engaged by the College and copies of invoices for institutional contracts approved by the CFO.
  • Coordinates travel arrangements, prepares itineraries; prepares, compiles and maintains travel vouchers and records; submits vouchers for reimbursement of expenses for the CFO

 

Education

Bachelor’s Degree in Business Administration, Accounting or related field or Associates degree.

Experience

8 – 10 years of applicable experience, preferably supporting senior level management in higher education or government accounting.  Experience handling complex duties and data.

  • Strong computer word processing, electronic spreadsheets and database management i.e. Excel, Access, PowerPoint, Word, and Outlook) and analytical skills
  • Excellent communication and customer service skills
  • Excellent critical thinking skills with the ability to appropriately address inquiries and make referrals, as necessary.
