A well-established and growing organization in the healthcare and wellness industry is seeking an Accounting Assistant to join their finance team. Accounts Payable:
• Process vendor invoices and payments accurately for multiple business entities using QuickBooks
• Verify invoice details, supporting documentation, and approvals before processing
• Match purchase orders, packing slips, and invoices to ensure accuracy
• Organize and schedule weekly check runs, obtain approvals, and issue payments by check or electronic transfer
• Reconcile and code company credit card statements across multiple accounts
• Maintain vendor profiles and update records as needed in QuickBooks
• Research and resolve payment or invoice discrepancies promptly
• Support month-end close activities related to accounts payable
Accounts Receivable:
• Record daily deposits and cash transactions in a timely and accurate manner
• Collaborate with internal departments to ensure all cash receipts are correctly posted
• Act as the main point of contact for internal accounts receivable questions
• Investigate and resolve discrepancies in payment postings
General Accounting Support:
• Maintain organized and up-to-date financial records for all entities within QuickBooks
• Assist with implementing and maintaining internal accounting controls and procedures
• Identify opportunities to improve A/P and A/R processes and suggest practical solutions
• Provide support during audits and other financial reviews
• Perform additional accounting and administrative tasks as assigned
• Associate’s degree in Accounting, Finance, or equivalent experience
• Proficiency in Microsoft Office Suite
• Experience with QuickBooks is highly preferred
• Strong analytical and problem-solving abilities with high attention to detail
• Proven ability to manage multiple priorities and meet deadlines
• Excellent organizational and communication skills
• Ability to work both independently and collaboratively in a team setting
• High level of integrity and discretion in handling confidential financial information
