A respected law firm in the Rochester area is seeking an Estate Administration Paralegal to work fully on-site. The firm is open to training candidates who have foundational paralegal or legal support experience and an interest in estate and trust administration. This role provides hands on support to attorneys while maintaining a high level of professionalism and confidentiality.

Prepare and submit probate petitions and related court filings while managing associated deadlines.
Gather and organize estate assets by contacting financial institutions and appraisers. Open and maintain estate accounts, process payments, and file required inventories.
Assemble documentation for federal and state estate tax returns, track extensions, and ensure timely filing. Coordinate signatures, payments, and communication with accountants.
Monitor estate and trust account balances to ensure adequate funding and request transfers when needed.
Oversee all aspects of trust and probate administration and track important case deadlines.
Review wills and trust documents to identify beneficiaries and required notifications.
Apply rules regarding exempt property to determine items that can transfer outside probate.
Draft receipts, releases, and settlement materials for estate and trust matters.
Prepare fiduciary accountings for estates and trusts.
Coordinate payment of insurance premiums for trusts that hold insurance policies, including requesting funds when necessary.
Conduct research to resolve inquiries or issues and follow up with appropriate parties.
Maintain consistent communication with clients and serve as a primary point of contact.
Keep daily time reports current to support accurate billing.
Perform additional duties as needed.
Degree in accounting, finance, business, income tax, or a related field. A paralegal certificate or equivalent experience may substitute for a degree.
Strong organizational, communication, and interpersonal skills paired with effective problem solving abilities.
Ability to collaborate with a motivated team in a fast paced environment.
