Description

Terrific DIRECT HIRE opportunity with a client located in the Brighton/Pittsford area. AP has partnered with this organization to secure an experienced support team member. This position is from 8:30-5 Mon-Fri. On Fridays until Labor Day the out time on Friday is 4:00. Pay is $46K.

Responsibilities

  • Monitor and reorder office supplies as needed to ensure adequate stock.
  • Manage U-Haul orders and logistics for the Moving Program.
  • Coordinate and schedule email campaigns requested by the office’s real estate agents.
  • Answer and route incoming calls from the main phone line, providing assistance or directing callers to the appropriate department.
  • Greet and assist agents and clients at the front entrance with general inquiries.
  • Schedule and oversee the use of conference rooms to avoid booking conflicts.
  • Maintain a clean, welcoming, and organized front desk and reception area.
  • Prepare, stamp, and manage incoming and outgoing mail and deliveries.
  • Review listing and sales transaction files to ensure accuracy and completeness.
  • Follow up on any missing or incomplete transaction documents.
  • Prepare and process commission statements for outside brokers and attorneys ahead of closing.
  • Assess and prioritize transactions that require immediate attention.
  • Provide support to agents, external brokers, and law offices by answering questions and offering assistance.

Experience

  • Accounting experience preferred.
  • Familiar with basic functions of Microsoft Windows and Office applications
  • Real estate experience is a plus but not required.
